1. Who we are
AAIML (Association of AI Marketing Leaders) is a professional association for marketing practitioners. AAIML is an initiative of Root Partners, the firm that operates it. References to “we,” “us,” and “our” in this policy mean AAIML and Root Partners acting in its capacity as the operator of AAIML.
This policy describes how we collect, use, and protect your personal information when you use the platform at aaiml.org.
2. Information we collect
- Account information: name, email address, professional title, company, category, biography, and photograph you provide when you register or update your member profile.
- Membership and payment information: if you upgrade to Pro membership, billing is processed by Stripe. Stripe collects your payment card details directly; we do not see or store full card numbers. We do store a Stripe customer identifier and subscription status so we can manage your membership.
- Event and resource activity: events you register for, sessions you attend, and resources you access. We use this to deliver the services and to understand which programs are useful.
- Communications: messages you send via the contact form, the AAIML Approved application form, or the board application form, and any direct correspondence with AAIML staff.
- Marketing preferences: whether you have opted in to receive AAIML event invitations, new resources, and community news.
- Usage data: pages visited, links clicked, device type, browser, approximate location based on IP address, and similar information collected through analytics tools described in Section 7.
3. How we use your information
- To create and maintain your membership account.
- To process payments and manage your Pro subscription.
- To send event confirmations, account notifications, and other transactional messages required to operate your membership.
- To send marketing communications about AAIML events, resources, and updates, only if you have opted in. You can opt out at any time from your account page or by using the unsubscribe link in any marketing email.
- To display your profile in the member directory, only if you have turned on the public directory setting on your account page.
- To improve the platform, understand which programs are useful, and develop new features.
- To enforce our Terms of Service, prevent abuse, and protect the rights and safety of members and the association.
- To comply with legal obligations.
4. Service providers we share data with
We do not sell your personal information. We share data only with the service providers needed to operate the platform, under contracts that require them to handle data on our behalf:
- Supabase hosts our database and handles authentication.
- Stripe processes payments and manages subscriptions. Stripe is the controller of the payment card data you enter on its checkout page.
- Resend delivers transactional and marketing emails on our behalf.
- Vercel hosts the website and provides Vercel Web Analytics for basic site traffic measurement.
- Google Analytics 4 provides additional analytics. See Section 7 for details and opt-out information.
- LinkedIn is used when you choose to share AAIML content from the dashboard or resource pages. We do not send your data to LinkedIn unless you click a share button.
We may also disclose information if required by law, subpoena, or valid legal process, or to protect the rights, property, or safety of AAIML, our members, or the public.
5. Affiliated entities and Root Partners products
Root Partners operates AAIML and also produces other products, including Citro, an AI citation intelligence tool. AAIML member data is held in AAIML’s database and is not shared with Citro or other Root Partners products except where you have chosen to interact with them directly (for example, by visiting an affiliated product’s website or redeeming a member offer).
If you choose to redeem an AAIML member offer with an affiliated product, the affiliated product’s own privacy policy will govern data you provide to that product.
6. Cookies and similar technologies
- Essential cookies maintain your authentication session and store basic preferences. The site cannot function without these.
- Analytics cookies are set by Google Analytics 4 to measure how the site is used, and only if you accept them in the cookie banner. If you decline, or simply dismiss nothing and keep browsing, Google Analytics does not load and sets no cookies. Vercel Web Analytics uses first-party cookieless measurement and does not require consent.
You can change your choice at any time using the “Cookie settings” link in the site footer. We also honor the Global Privacy Control (GPC) browser signal: if your browser sends GPC, we treat it as a decline and analytics cookies stay off.
We do not use third-party advertising or retargeting cookies.
7. Analytics
We use Vercel Web Analytics and Google Analytics 4 to understand how visitors interact with aaiml.org so we can improve it. These tools collect information such as page paths, referrers, device and browser characteristics, and approximate location from IP address. We do not use analytics to identify individual visitors, and we configure Google Analytics with IP anonymization where supported. Google Analytics runs only with your consent, given through the cookie banner, and all advertising features (ad storage, ad personalization, ad user data) are disabled.
You can opt out of Google Analytics by installing the Google Analytics opt-out browser add-on at tools.google.com/dlpage/gaoptout.
8. Data retention
We retain your account data for as long as your membership is active. You can delete your account yourself at any time from your account page; this immediately and permanently removes your profile, directory listing, and event registrations, and cancels any active Pro subscription. Records held by our payment processor (such as invoices) are retained as required for financial recordkeeping, and we may retain other information where required by law or to resolve disputes.
9. Your rights
Depending on your location, you may have the right to access, correct, delete, or export your personal data, or to object to or restrict certain processing. You can correct your profile and delete your account directly from your account page. For any other request, email membersupport@aaiml.org from the email address associated with your account. We will respond within the time required by applicable law (within 30 days for GDPR requests and 45 days for CCPA requests, unless an extension applies).
California residents (CCPA / CPRA)
California residents have the right to know what personal information we collect, to request deletion of that information, to correct inaccurate information, and to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined under California law, and we honor the Global Privacy Control opt-out signal. We will not discriminate against you for exercising any of these rights.
EU and UK residents (GDPR / UK GDPR)
If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the rights described above plus the right to lodge a complaint with your local data protection authority. Our lawful bases for processing are contract performance (your membership), consent (marketing email, where applicable), and legitimate interests (operating, securing, and improving the platform).
10. Children’s privacy
AAIML is intended for marketing professionals and is not directed at children under 16. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us personal information, contact us and we will delete it.
11. International transfers
AAIML is operated from the United States. If you access the platform from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from your jurisdiction.
12. Security
We use industry-standard security measures including encrypted connections (HTTPS), access-controlled infrastructure, and regularly reviewed third-party service providers. No system is perfectly secure. If we become aware of a breach affecting your personal information, we will notify you in accordance with applicable law.
13. Changes to this policy
We may update this policy from time to time. We will update the “last updated” date above and, for material changes, notify members by email at least 14 days before the change takes effect.
